Accessing the Share Modal from the Assign Dropdown

This guide outlines how users can quickly open the Share Modal directly below the Assign dropdown on the Project Page, making it easier to manage project sharing and visibility.


🧠 What’s New?

Previously, the Share Modal was only accessible via the three-dot menu (⋮) on the Project Edit page. This new feature introduces a dedicated “Share…” button directly under the Assign dropdown, making it:

  • More visible
  • Easier to access
  • Informative, by displaying the number of users the project is currently shared with

👤 Step 1: Accessing the Share Modal from a Project Page

Once the feature is enabled:

  1. Go to a Project Page where you want to manage sharing.
  2. Locate the Assign dropdown (top right of the page).

🔹 New Button: “Share…”

  • Under the dropdown, you’ll now see a button labeled “Share…”.
  • The button also displays the number of users the project is currently shared with.
    • Example:
      Share (2)… means the project is shared with 2 users.
  • This count provides quick insight into how broadly the project is currently distributed.

🖱 Step 2: Opening the Share Modal

  1. Click the “Share…” button.
  2. The Share Modal will immediately open.
  3. From here, you can:

       Add or remove users

  • View existing shared users
  • Assign roles or permissions as applicable
  • Edit permissions
  • Apply and save changes to project sharing

📝 Example Scenario

You’re managing a project and want to ensure your site inspectors and regional managers all have access:

  • Instead of going through the 3-dot menu, click the Assign dropdown.
  • Click “Share (2)…” to open the modal.
  • Add the new users or groups directly from the modal.
  • Save and close — done in just a few clicks.

💡 Tips

  • You can still access the Share Modal from the 3-dot menu if preferred.
  • Use the share count to routinely audit who has access to sensitive or high-priority projects.
  • Combine this with the User Tagging & Easier Sharing features for maximum efficiency.
