This guide explains how Portal Admins and Managers can view user tags directly within the Share Modal, making it easier to understand team structures and share projects with the right groups.
🧠What Are User Tags?
User tags are labels (e.g., AZ1
, CA1
, FieldTech
) that categorize users into logical groups such as by region, role, or team. These tags simplify the process of:
- Assigning projects
- Sharing with multiple related users
- Understanding user context at a glance
👥 Step 1: Configuring User Tags (Admin Setup)
This step is usually performed during user setup or role management and Portal Admins and/or Manager roles can configure tags.
- Navigate to the User Management section.
- Add one or more tags to a user (comma-separated).
- Example:
AZ1, RoofTeam, Supervisor
- Example:
- Tags will automatically be displayed in relevant sharing interfaces once assigned.
đź“‚ Step 2: Viewing Tags in the Share Modal
Once the feature is active and users are tagged:
- A Portal Admin or Manager opens a Project Page.
- Click the “Share…” button (screen shot 1), or access it via the three-dot menu (screen shot 2).
- The Share Modal appears.

🔹 Where You’ll See the Tags
- Each user listed in the modal will now have their tags displayed next to their name.
- Tags are highlighted blue e.g.
for easy scanning.
âś… Why This Matters
Benefit | Description |
---|---|
Better Visibility | Know which user belongs to which group without navigating elsewhere |
Faster Sharing Decisions | Choose users based on region or role tags directly in the modal |
Team Coordination | Share with individuals or use tags to align sharing with field teams |
📝 Example Scenario
You’re sharing a project related to a roofing inspection in California. You want to share it with:
- John (tagged
CA1
,RoofTeam
) - Maria (tagged
CA1
,Supervisor
)
When you open the Share Modal:
- You immediately see the tags next to each user’s name.
- You confidently select users with the
CA1
tag, knowing they’re regionally appropriate.
đź’ˇ Tips
- Tags are read-only in the Share Modal. Edit them in the User Management section.
- Combine tag visibility with the Assign & Share to Groups functionality for powerful project distribution.
- Be consistent with tag naming conventions across your org for best results (e.g., always use
AZ1
, notaz1
orAz1
).
