Trigger-Based AI Workflow Automation

This guide explains how triggers automatically run AI workflows when a project reaches a specific status.

πŸ”Ž How It Works

When a trigger is enabled, and a project’s status updates to a value that matches:

  • The selected Template
  • The specified Status Workflow State
  • The configured AI Workflow

The system will automatically execute the AI workflow on that project.

βš™οΈ How to Create a New Trigger

  1. Go to Admin>AI Workflows and click on "Triggers".

2. Click on "New Trigger".

3. Enter a Trigger Name and select the AI Workflow.

4. Choose the status workflow state that triggers this workflow. We don't recommend using a status that has the workflow of "Complete" as it will remove the project in the mobile app. 

5. Choose one or more templates where it applies. 

ℹ️ By default, new triggers are set to Disabled.

You can:

  • βœ… Enable or Disable the trigger at any time
  • πŸ’Ύ Click Save to finalize your trigger

Once saved and enabled, your automation is active.

πŸ“‹ Viewing Existing Triggers

Inside the Triggers tab, you will see a list of all existing triggers.

Each trigger displays:

  • Trigger Name
  • Workflow
  • States
  • Templates
  • Created Date

For each trigger, you can:

  • βœ… Enable / Disable
  • ✏️ Edit
  • πŸ—‘οΈ Delete
  • πŸ“„ Copy

       

✏️ Editing an Existing Trigger

  1. Click Edit on any trigger.
  2. A modal will appear with the current settings.
     
  3. Update the:
    • Trigger Name
    • Templates
    • Workflow States
    • Executed Workflow
    • Enable/Disable status

πŸ’Ύ Click Save to apply changes.

πŸ”„ What Happens Next?

When a project:

  • Is created from the template or templates selected in the trigger
  • Has its status updated to "In Review"
    • (Where "In Review" has a workflow state of "IN REVIEW")
  • Is updated from either:
    • 🌐 Web App
    • πŸ“± Mobile App

✨ Result:
The AI Workflow will automatically execute on that project.

🚫 When the Trigger Will NOT Run

The workflow will not execute if:

  • ❌ The trigger is disabled
  • ❌ The workflow is disabled

Both must be enabled for automation to work properly.

πŸ‘€ Viewing AI Workflow Status

To check progress:

  1. Open the project in the 🌐 Web App
  2. Navigate to the project details
  3. Hover over the AI workflow icon to see the current state and progress of the executed workflow.
