Solar System Completion Report: End-to-End Status Workflow

Whether you're in the field or the office, our optimized project workflow ensures data accuracy while keeping your team synchronized. Here is a breakdown of what to expect at each stage of the project lifecycle.

  1. New
    • Workflow State: NEW
    • Required Fields Enforced: No
    • The Action: The status when the project gets created.
    • Mobile State: Visible and editable.  
  2. In Progress
    • Workflow State: NA
    • Required Fields Enforced: No
    • The Action: The field user opens the project, changes the status to “In Progress” and begins data entry.
    • Mobile State: Visible and editable. 
  3. Submit for AI Review
    • Workflow State: SUBMIT COMPLETE
    • Required Fields Enforced: Yes
    • The Action: The user triggers this status to initiate the automated AI Review.
    • Mobile State: The data syncs to the server, but the project remains on the device.
    • The field user receives an In-App message (push notification if enabled) when the workflow completes and can view fields that need review (if any are found). They can fix the flagged items if present, while the status remains "Submit for AI Review"
  4. Final Submit from Field
    • Workflow State: COMPLETE
    • Required Fields Enforced: Yes
    • The Action: Once the user is satisfied with the AI feedback and has resolved all requirements, they select this status.
    • Mobile State: Removed from device. This signals the hand-off from the field to the office. The report is no longer editable by the field user.
  5. Internal QA Review
    • Workflow State: NA
    • Required Fields Enforced: No
    • The Action: An Office Admin transitions the project to this status.
    • Web State: Signals to the company that an internal manager/admin is currently verifying the data and photos. 
  6. Approved-Closed
    • Workflow State: NA
    • Required Fields Enforced: No
    • The Action: The Admin moves the project to this final status once the Internal QA Review is satisfied.
    • Final State: The project can be archived in this final step if the project is no longer being worked on. An archived project can only be accessed via advanced search or a dedicated archive view.
