Salesforce Integration: Overview, Capabilities, and Limitations

Introduction

This document explains how SiteCapture integrates with Salesforce, including what the integration can do, how it works, and the key limitations to be aware of.

Benefits

SiteCapture's Salesforce integration is designed to streamline data flow and operational workflows between the two platforms. Key capabilities include:

1. Sync Projects and Data
   • Automatically create or update Salesforce records (such as Opportunities, Projects, or custom objects) based on SiteCapture activity.
   • Push key SiteCapture data fields—such as project status, dates, inspection results, and more—into Salesforce.
2. Customize Mapping
   • Map SiteCapture project fields to Salesforce fields using the integration configuration.
   • Support for custom objects and fields depending on your Salesforce setup.
3. Enable Operational Visibility
   • Provide Salesforce users with up-to-date insight into field operations.
   • Improve reporting and dashboards using synced SiteCapture data.
4. Sync Photos & PDF Reports
   • The integration can automatically push photo zip files and PDF Reports into Salesforce.

Limitations

While the integration is powerful, there are important constraints:

1. It Cannot Sync Everything Automatically
   • Not all SiteCapture fields or objects are available for syncing.
   • Complex nested data (e.g., detailed checklist item history, photo metadata) may not map directly to Salesforce.
2. It Does Not Support Full Two-Way Sync
   • Most integrations are one-way from SiteCapture → Salesforce.
   • Data changed in Salesforce will not update back in SiteCapture unless specifically customized.
3. No Real-Time Sync for All Data
   • Sync occurs based on configured triggers and API calls; not every data point updates instantly.
   • API rate limits may affect sync frequency for large volumes.
4. Cannot Bypass Salesforce Security or Validation
   • All updates respect Salesforce permissions, validation rules, and assignment rules.
   • Records may fail to sync if Salesforce blocks the update.
5. Limited Control Over File/Photo Sync
   • File sync may require custom workflows or separate storage solutions.
6. Custom Logic Requires Development
   • Any nonstandard logic—conditional syncs, multi-object relationships, or field transformations—must be built via Salesforce development or middleware.
7. Field Groups/Dynamic Items Are Not Supported
   • Items cannot be added to field groups via the integration.
   • Field group data and photos cannot be mapped to Salesforce.
8. Contained Projects
   • Creating a project and attaching it to a container (Property or Job Site) is not supported.
9. Self Inspections
   • Sending Self Inspections is not supported.

Summary

The SiteCapture–Salesforce integration enables streamlined syncing of project and field data, supporting internal workflows and giving teams better operational visibility. However, it is not a full two-way or full-data sync solution, and certain data types, performance constraints, and Salesforce rules limit what can be transferred.
